    What you'll do

    Our exciting recent expansion into an 80,000 square foot, modern location combined with recent acquisitions has created a new opportunity for a Facilities Manager based in our NJ office.  We are seeking a high energy, experienced facilities professional with proven success in overseeing facility operations and projects. The role is multi-faceted as it includes not just the maintenance of buildings we occupy but also the implementation of new space while ensuring compliance with all safety and security protocols.

     

    • Successfully monitor Billtrust facilities to ensure that they remain safe, secure, and well-maintained at our HQ and 6 other locations across the US
    • Prepare and review maintenance schedules to ensure Billtrust equipment is maintained and in good working order
    • Tour sites as needed and derive maintenance lists
    • Facilitate requests for proposals, and execute required maintenance to ensure facilities are functioning as new
    • Plan, administer, and control budgets for contracts, equipment, and supplies
    • Hire and terminate contracts for maintenance, operations, and service vendors
    • Oversee construction and renovation projects to improve efficiency and to ensure that facilities meet environmental, health, and security standards, and comply with government regulations
    • Coordinate seating changes within departments, order furniture, and schedule movers
    • Review and file all leases and ensure Billtrust is in compliance with all tenant requirements
    • Communicate and work directly with local property managers for any work within the facilities
    • Track inventory of assets at all locations and budget and implement capital investments as required
    • Initiate planned maintenance programs including preventative maintenance for office equipment
    • Oversee the cleaning services for each facility

    What you'll bring to the team

    • Proven experience in a fast-paced facilities management position within a corporate setting
    • Strong understanding of plumbing, electrical, mechanical, HVAC and fire systems; ability to read and understand automation of those systems
    • Proven ability to communicate effectively both verbally and in written communication to balance customer needs, vendor issues and project deadlines
    • Experience in running and inspecting successful construction and installation projects for accuracy
    • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources
    • Strong sense of urgency and ability to prioritize incoming requests
    • Experience ensuring compliance with all safety and security protocols
    • Strong planning, cost analysis and proposal review experience for all moves, repairs or equipment installs
    • Strong customer service acumen- an ability to meet quality standards for services and maintain customer satisfacton
    • Willingness to travel to other locations as needed
